Conferences: Organiser Guidelines

When organising a conference or workshop you can get help from IEEE on different levels. These different levels require a specific procedure, but they also determine to what extend you can make use of e.g. IEEE logo, name and IEEEXplore.

IEEE Organization Units (Societies/Councils/Regions/Sections/Chapters) can offer 3 types of sponsorship (for IEEE sponsorship policy look here):

- Sole Sponsorship - 100% (IEEE Name and IEEE Logo may be used)
- Co-Sponsorship - Less than 100% (IEEE Name and IEEE Logo may be used)
- Technical Co-Sponsorship/Technical Cooperation - 0% (IEEE Logo may be used)

For sponsorship please contact the respective people on the Chapter/Section/Region/Council or Society level.

All conference that are sponsored by an IEEE Organizational Unit must submit an IEEE Conference Information Schedule. Submission ensures that your conference is registered with IEEE Conference Business Services and will be included in the IEEE Conference Search database and the IEEE's Call for Papers listing. It is also required to initiate the setup of budgets, conference insurance and conference publishing, if applicable. The necessary forms can be found here (note that several forms need to submitted up to 6 months before the conference).. Obtaining IEEE Sponsorship does not guarantee that your conference publication would be included in IEEE's Conference Publication Program. The Conference Publications Program, which includes the posting of material in the IEEE online collection, is limited to meetings in which IEEE is a participant. If the meetings are sponsored or co-sponsored by IEEE, then they can be considered for inclusion. As soon as the above mentioned procedure is followed, then the conference publication process will also initiate.
